Position: Publications Coordinator

Location: 100% remote

Start date: ASAP

Duration: 6 month Contract to Hire


The Publications Coordinator will be overseeing the Publications Assistant and interacting with lead doctors to prepare and manage manuscripts involved in the Ischemia Extend study.

Essential Duties:

  • Prepare and manage manuscripts, manage timelines, ensure milestones are being hit.
  • Assist Investigators and Program Director with correspondence to committees and investigators, development of writing groups, and submission of proposals, abstracts and papers to the SDCC and Publication Committee for approval
  • Oversee the tracking of all publication and presentation submissions and acceptances
  • Create forms and approval procedures for publication and presentation topic proposals, and create and oversee a database which tracks such proposals
  • Process, circulate, and monitor status of manuscripts
  • Generate reports on publication activity and present to the Publications Committee and study leadership as requested
  • Participate in Publications Committee calls
  • Provide editorial assistance, particularly for investigators for whom English is a second language
  • Communicate with authors, sponsor, and committee members regarding status of projects
  • Provide reports to committees and NIH regularly or as needed
  • Develop, maintain, and update timelines for completion of abstracts and presentations
  • Circulate drafts of abstracts, manuscripts, and presentations to authors, sponsor, and committee members
  • Format manuscripts to meet journal specifications
  • Route/Traffic manuscripts to medical writers, editorial assistants, and or graphic designers as needed
  • Submit manuscripts and abstracts by deadline
  • Follow up with journals regarding the status of submissions

Minimum Qualifications:

  • Bachelor's degree required
  • 2 years experience involving Publications
  • Outstanding communicator, organized, detail-oriented
  • Proficient in Microsoft office and Endnote
  • Experience with RedCap is a plus
  • CMPP certification is a plus
