Job Description:
Medical Affairs activities are a cornerstone for continued professional development among healthcare professionals (HCPs) globally. This role will primarily focus on capability building and operational support for the Medical Affairs Third Party Management (MA TPM) team across Business Units and the Global Medical Affairs Organization
Responsibilities:
MA TPM Capabilities & Operations
This team member will support various capability and operations initiatives. They use proactive problem-solving skills to identify gaps, design processes/solutions, and implement initiatives to increase productivity, efficiency, and operational consistency
while decreasing risk.
Support MA TPM Capability, Quality, and Operations set-up:
• Annual meeting planning & scheduling from the MA TPM shared calendar and management of activities on the team calendar for visibility
• Ownership of the Sourcing Council team meeting (agenda call, topic tracker, scheduling, running slides, capture action items, follow ups, etc.)
• Organize and maintain documents on separate SharePoint and Teams sites for both the Third parties and the internal business partners.
Processes and Tools
• Initiate process improvements and enable efficiencies where applicable.
• Serve as a system power user for software solutions utilized to manage Third Parties and serve as the subject matter expert to support general user questions, suggest system enhancements, data entry, reporting, etc.
• Support core MA TPM processes to enable the Sourcing Council and business partners to develop and deploy high-quality content and solutions.
• Execute required Third Party checks as needed to maintain compliance and suggest process improvement cross functionally as needed.
MA TPM Operations
Enables the MA TPM and Sourcing Council to work efficiently and effectively by establishing clear responsibilities, processes, as well as developing and deploying tools and frameworks to the team, constantly optimizing operations.
Provide Operational Support to the MA TPM community:
• Partner with the MA TPM strategic lead to ideate and develop business plan needs
• Manage the MA TPM shared mailbox, providing quick responses and resolutions to inquiries as they arise from Third Parties and business partners.
• Build, execute, maintain surveys for Third parties and internal business partners, and compile executive summaries for MA TPM initiatives as needed.
• Support relevant projects as assigned by leadership.
• Evaluate, develop, and implement capabilities, tools and processes required for team and stakeholder efficiency.
Program implementation
• Centralize the operational management of key MA TPM projects in support of the strategic initiatives set forth by leadership.
• Ownership of vendor relationships to the efficiency, productivity, and success of the Med Ed function by ensuring that vendors/providers meet or exceed their contractual obligations by delivering quality cost-effective solutions.
• Identify and remediate barriers to ensure program implementation success.
• Partner cross-functionally with procurement, Medical Affairs Quality, Working with Third Parties, etc. to achieve shared goals and outcomes
Qualifications:
· Bachelors Degree
· MS Office Experience
· Extensive Share Point experience
· Experience with managing external partners
· Ability to multi-task
· Ability to work proactively and efficiently
· Pharma/med affairs experience would be a plus
· Proven ability to assemble, share and apply key learnings across multiple projects
· Demonstrated ability to influence without direct authority
· High degree of flexibility and adaptability
· Demonstrated strong verbal and written communication skills with the ability to communicate to any level of the organization effectively
· Applied knowledge of project management tools and processes (e.g., management of integration, scope, time, cost, quality, human resources, communications, risk, and procurement as defined by Project Management Body of Knowledge)
